    5 Reasons to Implement Electronic Signature in Your Business Processes

    Electronic signature is a technological resource that allows agreements to be digitally signed with full legal backing and efficiency.

    Signatures play an important role in our daily lives, whether to formalize a business deal or expressing agreement from two or more parties on a specific matter. Nowadays, signatures have evolved beyond traditional paper-based methods and have moved into the digital realm.

    In the business context, managing document signatures and their legal validity has become a widely debated topic, and the use of signature platforms is becoming increasingly common.

    Integrating electronic signatures through Business Process Management (BPM) is a valuable asset for companies, offering various benefits that enhance efficiency and the security of their business operations.

    So here are the five main reasons that highlight the importance of electronic signatures in automated processes:

    1. Automation and Speed

    Electronic signatures allow the automation of document signing processes, eliminating the need for manual printing and signing. This makes the workflow more productive and efficient, reducing the time required to obtain the necessary signatures.

    2. Traceability and Control

    By integrating electronic signatures into an Integrated Management Platform, it becomes possible to trace and audit the entire document signing process. Each step, from document creation to signature protocol generation, is electronically recorded and monitored. This ensures transparency, control, and compliance with internal company policies.

    3. Security and Integrity

    Electronic signatures use encryption and other security techniques to protect the integrity of signed documents on a given platform. This prevents tampering and ensures the signature’s legal validity, offering a high level of safety.

    4. Convenience and Accessibility

    With electronic signatures, involved parties can sign documents remotely, anytime, and anywhere, as long as they have internet access. This eliminates the need for in-person meetings or physical document exchanges, making the whole process more convenient and accessible for everyone.

    5. Environmental Sustainability

    Electronic signatures contribute to environmental preservation by reducing the need for physical documents and overall paper consumption. This results in a decrease in raw material usage, preserving natural resources and reducing waste, in turn promoting more environmental sustainability.

    By leveraging the benefits of electronic signatures in BPM processes, companies can optimize their operations, improve efficiency, enhance security, and promote more sustainable practices. These advantages are even more evident in an Integrated Management Platform that includes native electronic signatures, such as the Fusion Platform.

    Electronic Signature Central: Organization, Efficiency and Security in a single place

    The Fusion Platform’s Electronic Signature Central offers a comprehensive and efficient solution for managing all your signing needs in a BPM environment.

    It is a hub that enables users with a quick overview of files that require signature. The platform provides accessibility with all detailed information about who requested the signature, when, and where the request was made. Additionally, users can access the full signature history of these files, ensuring precise and secure control.

    One of the key benefits of the Signature Central is tracking files for which the user has requested signatures from other parties. This enables more agile task management, facilitating the completion and publishing of documents.

    With the implementation of the Electronic Signature Central, organizations enjoy benefits such as centralized and organized signatures, improved efficiency and productivity, strengthened control and security, and full legal and regulatory compliance.

    Moreover, collaboration and accessibility are facilitated, providing a more positive experience for employees and clients.

    Companies only invest in process improvements when they realize that it is either legally mandatory or financially attractive. Especially from the executives’ point of view, investments in process improvements should only occur if there is a real motivation that proves that the investment will have actual financial returns. And that makes perfect sense, because all enterprises aim for cost reduction and increased profits, right? Thus, understanding ROI (Return on Investment) means having a holistic view of the relationship between the investment made and the gains and benefits generated by it over time.

    BPM and ROI calculation

    BPM (Business Process Management) is also known as Workflow in its broadest meaning, encompassing Process Management as a whole. It allows the execution and monitoring of a set of tasks, actions, rules, and sequentially functional patterns aimed at achieving certain goals.

    During the development of a BPM, some questions must be raised to understand its value and importance to the company, such as:

    • How valuable providing excellent customer service is?
    • How important is it to execute and communicate tasks with clear rules and agility, minimizing errors?
    • How to identify strengths, weaknesses, and bottlenecks of the executed activities?

    When gathering this information, both tangible and intangible variables should be considered for ROI calculation:

    • Standardization and compliance of the process and its rules (quality gains);
    • Accuracy with a reduction in errors and rework;
    • Increase in process speed;
    • Efficiency and reliability of processes;
    • Reduction in time and the number of people involved;
    • Increase in productivity.

    Note that there is no single recipe or mathematical formula that encompasses all the mapped variables associated with BPM, as its benefits are multidimensional. In many cases, companies can recognize the value of a process executed with excellence, but some are not interested in investing because they are unaware of the ROI.

    How to calculate a BPM solution’s ROI?

    To help you solve this challenge, Neomind has developed a calculator that allows companies to analyze the feasibility of investing in a BPM solution. The ROI Calculator takes into account the determining ROI variables (which we mentioned in this article). To access it for free, just click on the banner below. • Nidec Global Appliance expands use of Fusion Platform globally

    Nidec Global Appliance expands use of Fusion Platform globally

    Nidec Global Appliance, owner of the Embraco brand, manufactures and sales products for commercial and residential applications, including refrigeration solutions, motors for washing machines, dryers and dishwashers, as well as components for heating, ventilation and air-conditioning systems. It is focused on delivering a complete and innovative portfolio with high standards of quality, reliability, competitiveness and energy efficiency.

    With over 15,000 employees, Nidec Global Appliance has headquarters in Joinville, Brazil, and in Pordenone, Italy, as well as 14 factories and 4 sales offices in 9 countries. It has a combined annual production capacity of 70 million motors and compressors that supply more than 80 countries. There are 9 Research & Development Centers around the world and more than 600 engineers working on product innovation. In Brazil, the company has 5,000 employees in 3 factories.

    Nidec Global Appliance is a division of Nidec Corporation, a global leader in manufacturing engines and components for a wide variety of industries, headquartered in Japan.

    The challenge

    Handling the sample approval of Nidec GA products was a complex task in view of the global scenario and the number of areas involved in the process: in total, there were 41 areas in 9 plants in different countries and 7 languages.

    With so many people working together, Nidec GA’s greatest difficulty was to achieve traceability, as there was no detailed or standardized sample approval process between the plants. In this scenario, it was challenging to know, in real time, what stage the process was at, if there were any pending issues, or what the next steps were.

    Another issue that affected the process was the lack of vision of the flow as a whole: each area/region had to deal with its own particular difficulties, which compromised the progress of the activities and made management ineffective. From these points raised, the following questions arose: how to solve the problem? How to make the complexity visual, so that everyone was on the same page?

    The solution

    In the past, Nidec GA implemented other management solutions, but they had low adherence and did not reach the expected return. When visiting a partner company, which was also a Neomind client and user of the Fusion Platform, Luiz Gustavo de Oliveira, Senior Manager of Information Technology at Nidec GA, realized the potential of the tool to solve the challenge: “Since we had already tested other solutions, I realized from the other client’s experience that the platform was working. We then decided to change the current tool and made a pilot with Fusion,” says Luiz Gustavo.

    According to the senior manager, the decision was made quickly because the complexity of the scenario required an immediate response. From that point on, the partnership between Nidec GA and Neomind began, in order to enable the automation of the sample approval process via Fusion.

    Results

    So far, more than 112 processes have been developed independently (internally), since Fusion provides autonomy to the teams to model and automate their own processes, plus 13 processes that are in production with the Neomind team.

    Besides the gains in integrating several areas of the company globally, the tool provided accuracy and traceability of the information flow. Another highlight was the reduction in the time to send and request samples, where they obtained a 60% gain in process agility.

    Fusion is integrated to SAP and connected to an Analytics tool, which was of great importance so that reports and dashboards started to be automatically generated, facilitating the decision making of directors and managers. Luiz Gustavo also emphasizes that the communication between the areas and those involved in the process has improved. “The flow is more visual and the complexity has decreased.”

    Other benefits

    Fusion Platform managed to make the integration between the regions and areas of the company, converging all the methodologies used in a single standard, which made the company gain in process agility.

    The ease of use and transparency in the processes were other advantages perceived by Nidec Global Appliance and also cited by Tomas Jancov, Global IT Manager of the company. He also emphasizes as a positive point the fact that the team can be independent to solve problems that arise, adjust and simplify a flow in a matter of seconds (something that did not happen with the other tools used).

    And to leave no doubt about the gains of the solution, Jancov reinforces that despite the use of Fusion Platform having focused at first on the sampling process, the IT area also saw the possibility of exchanging other solutions for Fusion and unifying everything in a single tool.

    Results in numbers

    • 41 areas involved;
    • 10 integrations with SAP;
    • 60% gain in agility in production processes;
    • 100% accuracy and traceability of information;
    • 112 independently developed processes;
    • 13 processes in production.
